📚 How to Book a Club Room
Step 1: Verify Your Email
- Enter your registered email address
- Click "Send Verification Code"
- Check your email for a 6-digit code
- Enter the code and click "Verify & Continue"
Note: Verification codes expire after 15 minutes. If your code expired, click "Resend Code".
Step 2: Select Date & Time
- Choose the date you need the room (up to 7 days in advance)
- Select your preferred start time
- Select your end time (maximum 3 hours)
- Click "Check Availability"
Important: Bookings must be made at least 24 hours in advance.
Step 3: Choose Your Room
- View the list of available rooms
- Check the room locations
- Click "Select This Room" on your preferred room
- The selected room will be highlighted
Step 4: Confirm Booking
- Review your selected room and time
- Click "Confirm Booking"
- Wait for the confirmation message
- Check your email for booking details and the door code
🔄 Recurring Bookings (for Regular Meetings)
Need the same room at the same time every week? You can request a recurring booking!
- After verifying your email, click the "Request Recurring Booking" tab
- Fill out the recurring booking form with:
- Room selection
- Day of week (e.g., every Monday)
- Time range
- Frequency (Weekly, Bi-weekly, or Monthly)
- Number of occurrences
- A detailed reason for your request
- Submit your request
- Wait for admin approval
- Once approved, all individual bookings will be automatically created
Note: Recurring booking requests require administrator approval. You'll receive an email notification once your request is reviewed.
📧 What You'll Receive
After confirming your booking, you'll receive an email with:
- Complete booking details (room, date, time)
- Door access code for the room
- A calendar file (.ics) to add to your calendar
- Important reminders and instructions
⚠️ Important Rules
- You can only book once per day
- Maximum booking duration is 3 hours
- Do not share the door code with anyone
- If you no longer need your booking, please contact the administrator to cancel
- Rooms may be unavailable during blackout periods (holidays, maintenance, etc.)
🔧 Troubleshooting
A: Check your spam/junk folder. If it's not there, click "Resend Code" and wait a few moments. Make sure your email is correctly spelled.
A: Click "Resend Code" to receive a new verification code.
A: Try a different time slot. All rooms may be booked for your requested time, or there may be a blackout period.
A: Contact the administrator to cancel your booking.
A: Contact the administrator for special arrangements or request a recurring booking which may be approved with different parameters.
A: You will receive an email notification when your recurring booking request is reviewed. If approved, individual bookings will be automatically created and you'll receive confirmation emails for each.
A: Contact the administrator. They can cancel individual bookings from your recurring series and will notify you via email with the reason.
